Virtual Queue System — Email, SMS & WhatsApp Notifications
1. Purpose of Data Collection
We collect and process limited personal data solely for the purpose of operating the virtual queue system, issuing your digital ticket, and notifying you when it is your turn to be served. You may choose to receive notifications via Email, SMS, or WhatsApp.
2. What Data We Collect
- Email address (if you select Email delivery)
- Mobile phone number (if you select SMS or WhatsApp)
- Ticket number (system-generated)
- Queue type / service selected
- Timestamp of ticket issuance
- Preferred notification method
- Essential cookie identifier (to confirm ticket issuance and prevent duplicates)
3. Legal Basis for Processing
We process your personal data under the following lawful bases:
- Consent — when you provide your contact details to receive a digital ticket and notifications.
- Legitimate Interest — ensuring fair and orderly participation in the queue, preventing duplicate tickets, and maintaining service flow.
4. How Your Data Is Used
- To issue and manage your queue ticket
- To send notifications via your chosen channel (Email, SMS, or WhatsApp)
- To monitor and optimize service flow during the event
- To prevent duplicate ticket issuance using an essential cookie
Email messages are sent by ZEOUR LTD as Processor. SMS messages are delivered via GatewayAPI, and WhatsApp messages via Green-API, each under strict data-processing agreements.
5. Data Retention
- Your email address, phone number, and queue data are stored for up to 30 days (the day of ticket issuance and the following day) for delivery verification and dispute resolution.
- After 30 days, all personal identifiers are automatically anonymized and can no longer be linked to an individual.
- Cookies expire automatically after the event (maximum 30 days).
6. Who Has Access to Your Data
- ZEOUR LTD processes your contact details solely for queue notifications.
- Space NK Limited receives only pseudonymised, masked data for reporting (e.g., delivery logs and visitor statistics). Full contact details are not shared.
- GatewayAPI (SMS) and Green-API (WhatsApp) temporarily handle message delivery under GDPR-compliant data processing terms.
7. International Data Transfers
Some service providers may transfer data outside the UK or EEA. In such cases, transfers are safeguarded by Standard Contractual Clauses (SCCs) or equivalent legal mechanisms in compliance with GDPR requirements.
8. Your Rights
Under the UK GDPR, you have the right to:
- Access the personal data we hold about you (if still available)
- Request correction of inaccurate data
- Request deletion of your data, subject to retention limits
- Withdraw consent at any time (this will not affect prior lawful processing)
- Lodge a complaint with the UK Information Commissioner’s Office (ICO)
9. Cookies (Essential Only)
This system uses only one essential cookie to ensure fair queue access. This cookie:
- Prevents duplicate ticket issuance
- Contains only a minimal, non-identifiable code
- Expires automatically at the end of the event (max 30 days)
- Is not used for tracking, profiling, or marketing
10. Consent
By joining the queue, you confirm that you have read this Privacy Notice, consent to receive your ticket via the selected communication channel, and accept the use of the essential cookie as described.
11. Complaints
If you believe your data protection rights have been infringed, you have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) or your local data protection authority if you are based in the EEA.
